Microsoft has improved their SharePoint Online offering by adding new functionality that will increase the solution’s ability to share information; not just internally, but externally, too! Available over the next few days via SharePoint Online or Office365, users will be able to share documents from their SharePoint libraries with all in their email contact lists, using just one click, and create anonymous guest links directly from Office365.
Up until recently, the biggest issue in sharing files outside the organisation has been security, but the new sharing functionality allowing users to share content externally will keep any network administrator happy. Microsoft is offering three new ways to share content:
1. Link Creation – allowing users to create links to content directly from SkyDrive Pro or on the SharePoint Online libraries interface, which can then be sent with edit or view permissions. Once the shared link has served its purpose, it can be deactivated, preventing unauthorised access.
2. Members Share – site administrators will be able to enable site members to send sharing invitations to recipients within and outside the firewall, yet keep all the security permissions in lone location.
3. Email Invites – share with multiple people within your email lists at the same time, from a single email address, so that just the email addresses added will be able to see the content (external recipients will still need to be invited and accepted).
This new sharing functionality from SharePoint that retains security should please many users of the solution.
